Invoices, receipts and documents to Excel or Word, as printed

Send us your invoices, receipts and other documents, in whatever files you have them. Figures come back in an Excel workbook, and letters and other pages of text, typed or handwritten, come back in Word. Every value is as printed, tied to the page it came from, and checked against your documents before it reaches you.

Any AI can read an invoice in seconds. It can also make up a figure that looks exactly right. When it does, nothing on the screen tells you. That’s why every figure in your workbook is checked against your own documents by our own proprietary software before it reaches you.

What people use it for

  • Catching up the books. A box of invoices and receipts in one sheet, with totals by vendor and by month.
  • Paying bills. What each invoice says was paid, and what is still owed.
  • Expense claims. Receipts, phone photos included, listed and totalled.
  • Contracts and leases. The names, dates, rents and fees in each agreement, listed with the page and line they’re on.
  • Reports and price lists. Each table in the same rows and columns as the page, and the small print under it copied exactly.
  • Getting data out of paperwork. Forms, letters and delivery notes turned into rows you can sort and filter.

What your current tools leave to you

Converters turn a PDF into rows, and a chat AI will read a photo of a receipt. Checking the result is still your job. Here’s what we do differently:

  • Every value as printed. Nothing rounded, reworded or “corrected” so that a total comes out right.
  • Tied to its page. Every row says which file and page it came from, so you can find it in seconds.
  • Questions, not guesses. If a figure can’t be made out clearly, we ask you. It is never filled in.
  • Nothing doubtful in your totals. An invoice that can’t be read clearly stays out of your totals, and goes on the Questions tab with the reason, until you answer.

What goes wrong when nobody checks

These are the mistakes that slip through when AI reads invoices on its own. Each one looks right on the screen:

  • A figure on a faint scan is misread, or made up so the invoice adds up.
  • An invoice that runs over two pages is counted as two, or three invoices scanned together become one.
  • The invoice number is missed, or a check or account number is used in its place.
  • A discount or credit note is added instead of taken off.
  • A total doesn’t add up all its rows.

What you get

For invoices and receipts:

TabWhat it shows
SummaryHow many documents, pages and invoices were read, and their totals.
ExtractionEvery line item, as printed, with the invoice it is on.
InvoicesOne row per invoice or receipt: vendor, number, dates, subtotal, tax, total, what was paid and what is still owed.
By VendorThe invoices and their totals by vendor.
By MonthThe invoices and their totals by month.
By CurrencyOnly when your documents are in more than one currency: each currency’s own total, then one total in US dollars at the day’s exchange rate, with the rate and its date.
QuestionsAnything that needs your answer, such as a page we couldn’t read clearly or an invoice that may be in your files twice.
Other TextEvery other line on the invoices and receipts, word for word.

For forms, price lists and other documents with fields and tables:

TabWhat it shows
SummaryHow many documents, pages, fields, tables and paragraphs were read.
FieldsEach label and its value, as printed, with the page and line it is on.
TablesEvery table, as printed, with the line each row is on.
TextEvery paragraph, word for word, with the page and lines it is on.
QuestionsAnything to check against your copy, and why.

For letters, contracts, notes and other pages of text, typed or handwritten: a Word document with the text as written, page by page, checked against your pages the same way.

Every workbook opens on a cover page. Click a tab’s name there to go straight to it. Totals are Excel formulas, and with documents you also get a Word file with every value in order.

Getting a clean result

  • If the sender emailed you a PDF, send that. It reads better than a scan or a photo of a printout.
  • For a photo, lay the page flat and get the whole page in, in good light.
  • Send every page of an invoice that runs over more than one page.

What you can send

Any file you have: PDFs, scans and phone photos, Word, Excel, CSV and PowerPoint files, emails, drawings and CAD files. Documents can be in English or other languages, Hebrew and Arabic included. Several files and many pages can go in one order.

How we check every workbook

Every document extraction order goes through up to 50 accuracy checks before the workbook reaches you. Among them:

  • Every figure is matched to the page it came from, character for character.
  • Every invoice adds up: its lines to the subtotal, and the subtotal, tax and charges to the total.
  • Every page is accounted for. Nothing printed is left out, and nothing is added that isn’t printed.

See the checks in detail in our guide, How to check an AI-made invoice spreadsheet.

What we don’t claim. These checks prove your workbook matches your documents. Whether an invoice is right to pay, or a figure suits your taxes, is for you and your advisors to judge.

Questions

Can I send scans and phone photos?

Yes. The PDF the sender emailed you is best, but scans and photos are fine if they can be read. If a figure can’t be made out clearly, we ask you about it. We don’t guess.

Can I send drawings or CAD files?

Yes. Send any file you have, drawings and CAD files included. If a file is new to us, we’ll still take it.

Can I send handwritten invoices?

Yes, if they can be read. Anything that can’t be made out clearly is listed on the Questions tab, so you can check it against your copy.

What if my invoices are in different currencies?

Each currency is totalled on its own first, say $100 and €50. Then they are added together in US dollars at that day’s exchange rate, and the workbook shows the rate it used and its date. If everything is in US dollars, there is no currency column at all.

What if the same invoice is in my files twice?

We point out invoices that look like the same one sent twice, and ask you whether to count it once.

Does it work for documents that aren’t invoices?

Yes. Forms, price lists and delivery notes come back in Excel, every field and table with the page and line it’s on. Letters, contracts, notes and other pages of text, typed or handwritten, come back in Word, as written.

How do I order it?

From your portal, the same way as our bank statement service. It’s free during the beta.
